This notice explains how we collect, use, disclose and protect personal data, in accordance with the Singapore Personal Data Protection Act 2012 ("PDPA").
1. Personal data we collect
Website visitors. IP address, browser and device information, pages viewed, and referral source, collected through cookies and analytics tools.
Enquiries. Name, email address, company, job title, and any information you include when you contact us through our website form or by email.
Programme and workshop participants. Name, email address, company, job title, dietary or accessibility requirements where you provide them, billing details, and transaction records for paid programmes including the Claude Masterclass.
Clients and prospective clients. Contact details and correspondence relating to engagements, proposals and delivery.
Collective members, associates and contractors. Contact details, professional background, engagement terms and payment details.
Job and collaboration applicants. CV, contact details, and information you provide during assessment.
Much of the information we hold about business contacts is business contact information — name, position, business telephone number, business address and business email provided for business purposes — which is excluded from the definition of personal data under section 4(5) of the PDPA. This notice applies to the personal data that falls outside that exclusion.
2. Why we collect it
To respond to enquiries and provide information about our services
To deliver advisory engagements, programmes and workshops
To administer registrations, invoicing and payments
To send updates, newsletters and marketing about our services, where you have consented
To manage relationships with collective members, associates and contractors
To maintain business records, and to comply with legal, tax and accounting obligations
To improve our website and understand how it is used
We rely on your consent, on deemed consent where you voluntarily provide data for an evident purpose, on legitimate interests where applicable, and on the exceptions set out in the First and Second Schedules to the PDPA.
3. Who we share it with
We do not sell personal data. We disclose it to:
Service providers acting on our behalf — website and e-commerce hosting, payment processing, email and calendar services, email marketing, customer relationship management, video conferencing, accounting and corporate secretarial services.
Members of our collective engaged on your project, where necessary to deliver the engagement.
Regulators, auditors and professional advisers, where required by law or to establish or defend legal claims.
Service providers acting on our behalf are data intermediaries. We require them by contract to protect personal data and to retain it only as long as necessary.
4. Transfers outside Singapore
Some of our service providers store or process data outside Singapore. Where we transfer personal data overseas, we take steps under section 26 of the PDPA and the Personal Data Protection Regulations to ensure the recipient is bound to a standard of protection comparable to the PDPA, ordinarily through contractual commitments.
5. Use of AI tools
We use commercial AI and productivity tools in the course of our work. Where client material or personal data is processed using such tools, we use enterprise or business-tier services under terms that exclude the data from being used to train the provider's models, and we apply the same data intermediary requirements set out above.
6. Cookies
Our website uses cookies that are necessary for it to function, and analytics cookies that help us understand how the site is used. You can manage non-essential cookies through the banner shown on your first visit, and through your browser settings. Disabling essential cookies may affect site functionality.
7. How long we keep it
We retain personal data only as long as necessary for the purposes described above or as required by law. Indicatively:
Enquiries that do not lead to an engagement: 12 months from last contact
Programme and workshop records: 7 years
Client engagement and financial records: 7 years, reflecting Singapore statutory record-keeping requirements and the limitation period for contractual claims
Marketing list subscribers: until you unsubscribe

8. How we protect it
We apply access controls, multi-factor authentication on business accounts, encryption in transit, and a limited-access principle under which personal data is available only to those who need it for the purpose concerned.
9. Your rights
Under the PDPA you may:
Request access to the personal data we hold about you and information about how it has been used or disclosed in the past year (section 21)
Request correction of personal data that is inaccurate or incomplete (section 22)
Withdraw consent to our collection, use or disclosure of your personal data, on reasonable notice (section 16)
Send requests to dpo@cogentic-ai.com. We will respond as soon as reasonably possible. If we cannot respond within 30 days, we will tell you when we will. Certain exceptions to access and correction apply under the Fifth and Sixth Schedules to the PDPA. Withdrawing consent may mean we can no longer provide a service to you; we will explain the likely consequences before giving effect to a withdrawal.
Unsubscribe links are included in all marketing emails.
10. Data Protection Officer
Our Data Protection Officer is responsible for ensuring our compliance with the PDPA and is your point of contact for any question, request or complaint about personal data.

We aim to acknowledge complaints within 5 business days and to resolve them within 30 days. If you are not satisfied with our response, you may refer the matter to the Personal Data Protection Commission at www.pdpc.gov.sg.
